Payroll and Benefits Specialist At MEDA

Location: Waterloo, Ontario

Job Description

Mennonite Economic Development Associates (MEDA) invites applications for a Payroll and Benefits Specialist, Human Capital role. The Payroll and Benefits Specialist, Human Capital Department reports to the Sr. Director Human Capital and will be responsible for the in-house, full cycle, semi-monthly and monthly payroll for hourly and salary employees, for Canada, United States and International staff. The role will also administer all group benefits, as related to employees in Canada, United States and Internationally. In addition, The Payroll and Benefits Specialist will provide support to the Human Capital department on employee documentation, contracts and amendments, policy administration and other current projects where needed. This position will be based out of MEDA's Head Office in Waterloo, Ontario.

RESPONSIBILITIES:

Payroll and Benefits Administration

  • Complete full cycle semi-monthly and monthly payroll for hourly and salary employees (ADP and excel), including year-end and T-4s
  • Manage payroll and benefits administration enrolment, termination, revision and systems
  • Prepare, reconcile and track benefit invoices for payment
  • Support annual benefits renewal process
  • Answer employee questions on payroll and benefits administration
  • Support salary administration and annual salary increase administration processes

Employee Records and Document Administration

  • Maintain accurate, up-to-date and complete employee records and files in HRIS system (BambooHR and SharePoint)
  • Ensure back-up and organization of all employee files and records
  • Monitor and administer time-off tracking and leaves in HRIS system (BambooHR)
  • Monitor and administer training documentation and requests
  • Draft employee letters, amendments and end of term documentation
  • Assist to draft, maintain and update job descriptions

Policy Administration

  • Administer and support current HC policies and HC handbooks, maintaining awareness of current legislation and best practices
  • Support maintenance and update process for HC Policy handbooks
  • Answer employee questions on HC policies and handbooks

Human Capital Generalist Support

  • Support corporate culture, employee recognition and employee life events
  • Support employee and HC initiated lunch & learn sessions
  • Assist in employee onboarding and preparation of onboarding schedules and materials
  • Provide administrative assistance to Human Capital department for routine tasks and special projects

Any other duties and/or requirements as assigned.

REQUIREMENTS:

  • University degree in business administration, human resources or related field
  • Minimum of two years' relevant experience in payroll and benefits administration
  • Experience with payroll and HRIS systems
  • Proficiency in the entire Microsoft office suite, including strong skills in Excel

ADDITIONAL QUALIFICATIONS:

  • General human resources experience and CHRL designation
  • Payroll designation (CPA)
  • Experience with ADP and BambooHR
  • Team player with excellent skills in building and maintaining relationships, networking, verbal and written communication
  • Superior organizational skills and proficiency in managing competing priorities
  • Demonstrated interpersonal and communication skills
  • Experience dealing with issues of a confidential and sensitive nature
  • Experience working for an NGO in the international development sector
  • Appreciation and support of MEDA's faith, vision and values
  • Understanding and appreciation of business principles, international development and MEDA's approach to business solutions to poverty
