Sr. Specialist, Real Estate Portfolio Planning and Analytics (Real Estate Administrator) At Mackenzie Investments

Key duties and responsibilities:
Reporting to the Sr. Manager, Planning and Governance, this position maintains and builds the IGWM Facilities and Consultant Database. This position supports the Real Estate and Facilities team with business administration services, tracking branch details and payments, and changes related to site locations.

Maintaining IGWM Facilities and Consultant Database
  • Sales Data (Scorecards) updated Monthly
  • Branch details (opening, closing or relocating a site) updated monthly
  • Consultant details (appointment, terminations, relocations) updated bi-monthly
Strategic Support & Remote Allowance Administration
  • Set-up, adjust or cancel payments as requested
  • Using the IGWM Database, ensure payments are adjusted when relevant changes occur
  • Closing of a location
  • Relocation of a site closer to the Region
  • Change in Regional Director
  • Consultant termination or relocation
Using the information within the IGWM Database to;
  • Review rent exception requests and bring forward to committee
  • Review rental worksheet requests
  • Review deferred furniture requests and determine possible solutions
Pre & Post Move Administrative tasks
  • Organize coffee and snacks for vendors at new sites.
  • Set-up POs and pay monthly invoices
  • Organize client letters for relocations
  • Assign business card credits to Cnslt accounts post-move
  • Advise Business Reporting, Compliance, HR and Insurance of upcoming relocations and confirm when complete

Qualifications:

  • Post-secondary degree/diploma in business administration, operational management, and/or commercial real estate or a relevant discipline
  • Effective planning and organizational skills with the ability to perform effectively under pressure and deliver on multiple demands
  • Client relationship management skills.

  • Some travel required
