The Retail Distribution Division at Mackenzie Investments is currently accepting applications for the position of Senior Administrative Assistant.
As a valued member of the Retail Distribution team your core responsibilities will include:
Provide administrative support in order to drive initiatives forward to achieve strategic priorities
Provide administrative support to VP, Head of Inside Sales including, calendar and meeting management, expense reporting, call answering, making travel arrangements and resolving technology issues
Onboard/Offboard team members, including processing new hire forms, IT requirements and support, and working with various stakeholders to ensure smooth transition
Meeting set up and management including creating agendas, booking meetings, technology set up, conference calling and catering as needed.
Record and reconcile expenses for entire team in a timely and efficient manner
- Record and track vacation and absences for entire team and provide vacation reporting when required
Review communications as requested and ensure appropriate formatting, spell check and grammar proofing.
Ensure timely processing of invoices for with strict adherence to contract policy
Proactive expense management, review monthly budget for cost centres and ensure all line items are correctly allocated
- Create shared drives for team as required
Providing adhoc support for Inside Sales Leadership team
- Provide reception back-up support on monthly basis to Executive Receptionist
- Other administrative duties as required by Executive
The following qualifications are required of the successful candidate:
5+ years administrative experience
Excellent communication skills, both written and verbal
Ability to interact professionally with individuals at all levels of the organization
Excellent interpersonal and organizational skills
Ability to work well under pressure
Ability to work independently and in a team environment
Advanced PC skills, including Word, Excel and PowerPoint
Strong organizational skills with attention to detail, follow-through capabilities and the ability to meet deadlines
Successful completion of Canadian Securities Course and knowledge of mutual fund industry are assets
