Student Advisor At Conestoga College

Location: Waterloo, Ontario

Job Description

Support Staff Full-time New Position (Full-time Support Staff will be given first consideration)

Responsibilities:

We require a qualified individual to provide academic advising to students in the School of Hospitality and Culinary Arts. The successful incumbent will be responsible for providing academic advising to School of Hospitality and Culinary Arts students through a wide range of Conestoga initiatives supporting student success and retention

  • Develops, implements, and follows up on student retention initiatives in coordination with faculty and coordinators, which includes monitoring all first year student progress and those on academic probation
  • Meets with students identified as being at risk and develops individualized academic plans, as well as discusses program discontinuation and strategies for re-admission
  • Reviews, analyzes, and resolves student issues or concerns regarding faculty or academics, process appeals, etc., ensuring their customer service needs are met and that appropriate processes are followed
  • Advocates from the advising perspective; identifying and reporting circumstances that may adversely impact students’ academic progress
  • Facilitates appropriate referrals to support student issues (e.g. personal, mental health, financial, time management, learning ability, or career concerns, etc.)
  • Provides confidential customer service and guidance to students
  • Acts as School point of contact for admission procedures (e.g. portfolio review schedules with Admission Officers, program clarifications, alternate offers, credit transfer and turnaround documents, and pathway options); follows up with coordinators and faculty as needed
  • In collaboration with program coordinators, prepares and distributes probation and discontinuance letters to students and provides support, advice, and guidance through this process
  • Maintains up-to-date records of all academic documents including course add/drop, withdrawal, etc. for reference purposes by the School of Hospitality and Culinary Arts
  • Provides students and faculty clarification of Conestoga and School of Hospitality and Culinary Arts policy and procedures
  • Assists students, faculty, Chairs, and the Registrar’s Office staff in completing specialized individual student academic plans for successful completion of program (i.e. special timetabling)
  • Pre-scheduled, drop-in, email, phone or virtual (MS Lync, Skype, etc.) advising sessions
  • Presents and provides materials for student orientation sessions during Orientation Weeks
  • Follows up with students when referred by faculty
  • Meets with high-needs and/or recurring students, creating awareness of the accessible services and referring students to appropriate resources
  • Maintains and files academic offence forms, student code of conduct forms, special timetabling documentation, and other student issue documentation
  • Regularly reviews and edits the School of Hospitality and Culinary Arts program handbooks with coordinators, Chair, and/or Executive Dean for currency; participates in the development of new guidelines, and manages historical records and changes
  • Stays current with academic advising and student retention policies, procedures, and guidelines both at Conestoga and external to the organization, and shares the information with the Chair and coordinators
  • Is responsive to changing student demographics and academic needs

Qualifications:

  • Three year diploma/degree in the field such as Hospitality and Culinary Arts, Human Services, Academic Advising, Counselling, or Adult Education
  • Three years practical experience providing developmental academic advising to students in a post-secondary educational setting
  • Demonstrated knowledge of student and adult learning development theories, approaches and best practices
  • A good understanding of academic operations as well as knowledge of college post-secondary programs
  • Experience with hospitality and culinary arts is an asset
  • Demonstrated experience working with and supporting a diverse student/client population
  • Understanding of rules related to advising and privacy and confidentiality
  • Ability to positively relate to Conestoga students and employees, and the public is essential
  • Experience with media, design or art students is an asset
  • Demonstrated listening, coaching, and facilitation skills
  • Excellent interpersonal and communication skills
  • Ability to work collaboratively within a team environment
  • Displays strong organizational ability with close attention to detail
  • Strong critical thinking and problem solving skills
  • Advanced proficiency with Word, Excel, and Outlook plus skilled in research and data analysis
  • Ability to learn and adapt to new software applications is important
