Scope of the position
Responsible for monitoring the progress of CPU and Commercial jobs in production, in order to ensure their timely completion. The individual must be well organized with the ability to multi task to meet deadlines in a fast paced environment. The individual must be able to work independently, occasionally with limited supervision, to complete tasks with high level of detail and accuracy in order to assist both internal clients and external vendors, solid interpersonal skills, including excellent verbal and written communication skills, are a requirement.
Major Responsibilities
- Communicate daily with IT, Client Services, Shipping, Mailroom and Laser Room, to ensure all job components are in place - in particular, material used in production;
- Proactively identify, investigate and escalate
- Work closely with Client Services, Design and Inventory Managers at other branches to resolve inventory discrepancies and achieve maximum customer satisfaction;
- Produce and analyze weekly and monthly statistical reports used to forecast and order material used in production;
- Maintain optimal levels of inventory and identify appropriate re-order points to ensure uninterrupted production;
- Maintain a good working relationship and liaises with vendors to ensure accurate orders are placed and relevant inventory issues are resolved in a timely manner;
- Accurate and timely submission of payroll information to Human Resources department;
- Verify and approve shipping invoices prior to submitting them to billing
- Provide general administrative and clerical support including mailing, scanning and copying of documents;
- Maintain electronic and hard copy filing system of spoiled secure stock;
- Perform data entry tasks, including data manipulation, to provide information to other departments;
- Complete statement of mailing paperwork for Canada Post via Electronic Standard Tools Online
- Maintain filing of job bags on a daily basis
- Answer emails and calls from internal customers regarding production inquiries;
- Perform other administrative duties as assigned by Operations Team Leader
Education, Training and Certification (s)
Post Secondary school diploma and 3-5 years related experience and/or training in an administrative role
Experience
- Word processing, spreadsheet, internet, e-mail and database software knowledge is required;
- Knowledge of industry requirements as it relates to the processing and distribution of jobs
- Knowledge of industry requirements as it relates to the processing and distribution of jobs
- Ability to effectively communicate work instructions and follow up with team members
- Ability to write routine reports and correspondence
- Ability to effectively manage time and apply common sense understanding to carry out instructions furnished in written, oral or diagram form
- Ability to effectively deal with problems requiring solutions in a timely manner
- Detail and Task oriented
Physical Skill and Effort & Working Conditions
- Occasionally required to lift up to 30 pounds
- Position requires alternating between sitting, standing and walking but work volumes allow staff freedom to schedule duties as appropriate.
- Position requires typing skill sets for responding to email (time varies) and minimal data entry(less than 3 hours per week)
