As a leading Northwest CPA firm, we're known for our outstanding technical expertise, strong relationships with clients and colleagues, and passion for the work. Founded 25 years ago, Bader Martin provides tax, audit and accounting services in the Puget Sound area. We currently employ over 100 professionals who are deeply committed to providing outstanding value added client service. We are looking for an administrative assistant with strong computer and administrative skills who shares our values to assist our tax department as part of our overall operations team.

Job Description

Provide administrative support to our tax accountants as part of our overall operations team. Our operations team consists of 15 other individuals who support our accountants in a variety of ways. The ideal candidate will be experienced handling a wide range of administrative and executive support related tasks. A positive demeanor, the ability to problem solve and to learn quickly is a crucial part of this job. Must be exceedingly well organized, flexible and enjoy administrative challenges. It is crucial that the candidate is comfortable in a fast paced environment, yet remains proactive, resourceful and efficient, with a high level of professionalism and confidentiality. High level written and verbal communication skills, with strong analytical skills and attention to detail are equally important as you will be dealing directly with our clients at times. Demonstrated ability to learn new software with relative ease is also essential.

Essential Tasks

  • Interact with external clients via e-mail and by phone in a professional manner on behalf of our accountants to collect information such as signed documents and approval forms in order to complete tax return preparation.
  • Focus on service by completing assigned responsibilities accurately and on a timely basis, providing timely follow-up and answering questions for assigned areas. This may involve unique situations where each assignment must be handled differently, using judgment and discretion.
  • Provide administrative support (prepare client engagement letters; complete IRS memos, schedule appointments, prepare billing and provide occasional receptionist back-up).
  • Use Microsoft Suite extensively to prepare professional documents including letters, memos, presentations, spreadsheets and billing statements.
  • Be able to proofread financial documents for proper spelling and ensure numbers tie.
  • Understand the firm's service lines, industries and client engagement structure in order to work effectively with all levels of employees and clients.
  • Communicate effectively and professionally with all levels of clients and internal employees. Understand and anticipate customer service needs and administrative needs to deliver high quality service and results.

Qualifications

Preferences for this position are the following:

  • Recent experience in an administrative support position preferably in a financial services, law firm or public accounting environment.
  • Strong working knowledge of MS office, including Word, Excel and Outlook.
  • Sound written communication skills, including good grammar and spelling.
  • Strong verbal communication skills, including the ability to speak clearly and concisely.
  • Ability to use office equipment including computer, copier, and scanner.
  • Able to learn new software programs with relative ease after provided training.
  • Ability to read and interpret written information with relative ease and understanding.
  • Ability to manage competing demands and can be flexible when unexpected events arise.
  • Able to meet the job requirements of 8:00 am to 5:00 pm (some flexibility within core hours), plus additional overtime when required, including an occasional weekend day during our busy season, see below for a description of our peak workload seasons. This is a team effort as deadlines approach.

Must be able to pass a criminal background check upon offer of employment

Due to the seasonal nature of our business overtime may required as we approach tax deadlines. This may include some Saturdays during our busy season which can run from mid-February to mid-April and from September to mid-October.
